Most internal meetings exist because nobody wrote the thing down. When the default mode is written communication — durable, searchable, scannable — meetings shift from broadcasting to deciding, which is what they are good at. The savings compound: every well-written memo eliminates a recurring meeting it would have generated.
Internal communication that wastes time loses trust. The discipline is the same as for any good writing: lead with the conclusion, structure for scanning, link rather than restate, and edit until the message is the shortest version of itself that remains accurate.
Strategic messages need to be heard multiple times to take hold, but reinforcement is not the same as repetition. Reinforcement adds a new angle, a new example, a new application each time. Repetition just reissues the same words and trains the audience to tune out.
